Cosmetic Doctor have over 19 years of clinical experience and has been performing aesthetic treatments for over 15 years. We now have an opportunity for a Clinic Receptionist / Patient Co Ordinator to join our team. This is a fabulous opportunity for an experienced Front Of House professional to work alongside her 5* awarding winning Medical skincare team providing the best treatments available. The company requires a Part-Time or Full-Time FOH/Receptionist who can hit the ground running in a busy environment. Hours will involve working two late evenings until 8 pm and Saturdays 9-6pm.

We are looking for an Aesthetic Receptionist to provide administrative and treatment support in a doctor-led aesthetic clinic. The successful candidates need to be extremely professional and hardworking, with strong interpersonal skills, such that they can deal easily with patients. The role will require strong administrative skills, as well as a genuine interest in aesthetic treatments and skin care. We are a small but ambitious aesthetics clinic based in South Dublin. Procedures currently undertaken include wrinkle reducing injections, treatment of thread veins and laser treatments. In addition, the clinic is extremely active in providing skincare advice and products for medical skin conditions.

Ideally, the successful candidate will be capable of filling both roles. The first role, that of Patient Coordinator before, during, and after patient consultations (in much the same way a dental nurse supports a dentist). You will be involved in preparing the room and equipment prior to consultations, meeting and greeting patients and offering assistance during procedures. The second role is that of receptionist/administrator. This will involve answering the telephone, making bookings, answering queries and emails, taking payments, and general administration.

Primary Duties

  • Ensuring the seamless and smooth day-to-day running of the Reception
  • Client satisfaction - this is a primary responsibility.  All clients must receive the utmost care and attention while experiencing a 5 Star treatment
  • Efficiently manage all enquiries and bookings-made via phone, email, social media and in person
  • Ability to upsell a client a higher value Treatment, course or retail purchase
  • Ability to close a sale for therapist re courses and retail products
  • Efficient scheduling of appointments through our salon management software
  • A key objective for the Receptionist is to support all team members
  • Management team by maintaining standards, co-ordinating staff and assisting in any way to ensure the clinic is run in a professional and 5 Star manner
  • Responsible for opening or closing of the clinic
  • Cash up, balance till and send reports to management team at end of day
  • Stock ordering and checking if needed
  • Keep reception area spotlessly clean, neat and tidy at all times
  • Ensure Daily Checklist is completed every day.
  • Manage gaps in the therapist column and encourage clients/therapists to fill them.

1 Year minimum experience.
  • 1 Year minimum experience working in Laser Skincare Clinic or Beauty Clinic
  • The ideal candidate will hold a relevant beauty qualification and have a minimum of 1 years’ experience in a Reception environment.
  • Must have fluent English, excellent computer skills and have an ability to pick things up quickly.
  • Flexibility in working hours is required as we are open late evenings and Saturdays.
  • Experience in complaint handling is an advantage.
