We are currently recruiting for a Receptionist 3-4 days per week. The successful candidate will play a significant role in the day-to-day running and smooth operation of the business, the reception and , trainers, delegates and models.
Must be able to work well on own initiative, but also as part of a team. Must be confident in all areas of multi-tasking and managing people at the same time.
The successful candidate will have outstanding IT skills, organisational and interpersonal skills and will be highly motivated with the ability to provide excellent customer service and to work well under pressure. The ideal candidate will also have a proven track record of working in a fast-paced administrative role.
Primary Duties
- Responsible for the day-to-day smooth running of the reception area.
- To ensure all enquiries and requests are dealt with efficiently and promptly.
- To have complete knowledge of the services & facilities available and to communicate these to delegates as required.
- Management of all email and phone enquiries.
- Organising payments, invoices and contracts for room rental.
- Meeting and greeting delegates, models and visitors, coordinating hospitality arrangements as required including catering and organisation of conference facilities etc.
- Logging service calls for maintenance contractors.
- Maintain a professional appearance at all times.
- Assisting with event management for groups, set up and catering.
- Upkeep of schedules for delegates, trainers and models bookings for courses.
- Answer, screen and document/forward incoming phone calls.
- Ensure reception area is tidy and presentable, with all necessary stationery stock.
- Monthly Stocktakes all products and consumables.
- Perform other clerical receptionist duties such as filing, photocopying, record keeping.
- Check all invoices sent on time to bookkeeper monthly.
- Data collection & management of text messages and newsletters monthly.
- Knowledge of Phorest booking system an advantage.
- Knowledge of Social Media to manage enquiries on Instagram & Facebook. Any other experience advantage.
- Flexibility if needed at busy times.
