We are seeking a highly professional and organised Senior Administrative & Reception Executive to join a prestigious and well-established aesthetic business in Dublin. In this role, you will be the face of the business, managing the reception area and overseeing day-to-day administrative operations. You will coordinate appointments and schedules, manage correspondence, support events, and ensure the clinic or office maintains a polished, professional, and welcoming environment. Strong written communication, exceptional organisational skills, and a proactive approach are essential to thrive in this role.

Primary Duties

Key Responsibilities:

  • Manage the daily operations of a busy reception, ensuring a premium client experience
  • Professionally handle phone, email, and in-person enquiries
  • Coordinate appointments, schedules, and room allocations for clients, events, or treatments
  • Process invoices, payments, and contracts accurately and efficiently
  • Assist with event planning, hospitality, and administrative support for workshops or training
  • Maintain accurate records, filing systems, and digital documentation
  • Support client communications, including newsletters, social media enquiries, and messaging systems
  • Monitor office supplies and maintain a clean, professional reception area

Requirements

4 Years minimum experience.
  • Minimum 4 years’ experience in an administrative or reception role, ideally within an aesthetic, skincare, or high-end professional environment
  • Exceptional written communication skills with attention to detail
  • Highly IT proficient with experience using administrative software and booking systems (Phorest knowledge advantageous)
  • Strong organisational, multitasking, and problem-solving abilities
  • Ability to work independently and as part of a professional team
  • Professional presentation and excellent interpersonal skills
  • Flexible and able to support the team during busy periods
