Reporting to Dr. Lisa Fay, the employee is expected to be flexible in their approach and to work in a collaborative fashion with the employer to grow a dynamic, compassionate, high quality practice. The employee will be expected to demonstrate initiative, interest and loyalty and to have a meticulous, conscientious approach to all aspects of the role. The employee’s contribution will help ensure that a reputation for efficiency, personalised care and clinical excellence is maintained by the practice.

The employee will be expected to provide laser and skin care services to clients during the course of their employment. These duties include those listed below as well as many other duties usually associated with this role but not specifically listed below.

Primary Duties

Clinical duties 

  • Provision of following services and treatments
  • Skin Consultation Advice and Recommendations using Cosmetic Doctor consultation documentation and treatment logs which must be uploaded to client’s file. Consent forms for Obagi and Zo Skincare or medical cosmeceuticals must be completed and maintained up to date. Skin care advice and to demonstrate proficiency and adequate knowledge on all skincare ranges offered by the clinic.  Ranges Obagi, ZO skincare, Mesoestetic
  • Laser Hair Removal using Alexandrite and Nd:Yag devices and demonstrate proficiency in treating all skin types
  • Sales of Retail Products. Sales of Retail medical cosmeceuticals are necessary to ensure maximum results for each client pre, during and after treatments. Failure to do so will result in substandard treatment outcome for your client.
  • BBL, Clear Silk, Clear V, Moxi Laser treatments. Must have experience in providing these treatments
  • Hydrafacial Treatments
  • Chemical Peels (i.e. Obagi Blue Peel Radiance, Mesoestetic Peels, ZO Skin Health and also Easy TCA peels)
  • Microneedling treatments
  • Cosmelan treatments
  • When required by Management you will be required to follow our Assistance Policy to assist doctor to ensure smooth running of the clinic schedule. This involves taking pretreatment photographs, removal makeup, running through consent form and discussing possible Homecare and in clinic skincare treatments which would benefit them where applicable. Assistance with advance preparation for clinics.
  • Answering Phones and emails, covering reception, clinic orders and stock control, cashing up and opening and closing as required by Management.
  • When orders arrive at clinic, checking stock numbers equate with the invoice, and store appropriately.
  • Stock Checks: Checking expiry dates and stock requirements for each room.
  • Safe disposal of clinical waste and sharps.
  • Achieve targets set out by management 

General

  • Dealing with telephone enquiries from patients related to treatments, follow up calls where deemed necessary and meeting with company representatives and contractors.
  • Corresponding with patients, colleagues and other contacts by email and telephone where necessary.
  • Respond to all patient enquiries and queries on same day working basis.
  • Notify management of any issues with IT hardware, software, printers, TV monitors, all lighting in reception and phones etc.
  • Keep clinic room area in a tidy and professional order, particularly following the completion of a session. This should meet highest clinical standards. This includes checking bed linen is clean and laundered. Empty bins and ensure kitchen area is kept clean at all times. Ensure bathroom is presentable and restocked.
  • Cleaning where necessary to maintain professional of clinic room.
  • Cleaning and maintenance of all machinery used.
  • Checking stock expiry dates and Retail stock checks when required by Management. Restock clinic rooms to ensure all treatment stock present for your treatments.
  • Safe disposal of sharps and blood products.
  • Follow the opening and closing procedure outlined by Management.   
  • Prepare for the morning meetings. Prepare and know your diary in advance of meeting. This will include knowledge of patient progress and plans for cross referral and upselling.
  • You may be required by Management to order stock.
  • Any other tasks that are assigned to you that are reasonable within your capabilities and are within the best interest of the clinic.
  • You will be required to assist in taking bookings, meet and greet, scheduling appointments and also taking payments. In the event of this occurring, you may be required to cash up accounts before leaving at the end of the day. 

Clinical Standards

  • On Induction, you will be advised on Clinic Procedures and Protocols for Usage and Maintenance of all devices and clinical protective wear. Please ensure that you have read and familiarised yourself with procedure and comply with standards as outlined in the Practice Manual. 

Administration

  • Make treatment notes on Phorest (or any future practice management software system) recording all telephone or other conversations with or regarding patients where appropriate. Documenting patient progress, problems where indicated and recommendations regarding skincare etc.
  • Ensure treatment notes are comprehensive with full detailed up to date documentation of medical history. To assist you in this process please use detailed templates drafted on computer system. Use Templates and complete as recommended by Management. Ensure client consent forms are completed, pretreatment photographs are taken and aftercare advice given as recommended by Management and Training programmes.
  • Following Data Protection Guidance, Computer and Confidentiality Policies as required by Cosmetic Doctor.
  • Making patient appointments at times when reception very busy and taking booking deposits and payments. 
  • Uploading patient photographs to iCloud and transferring into relevant patient files daily on the day of treatment. It is vital in view patient confidentiality and data protection that correct patient consent and photos are uploaded to the correct chart. All patients attending for any treatment must have pre-treatment photos as a matter of course. All clients must have relevant consent signed and checked prior to any treatment).
  • Assist in training of new therapist as necessary in the future as the clinic expands. 

Patients

  • Greeting clients in a warm and friendly manner. Acknowledge clients whether arriving for an appointment or purchasing stock.
  • Engage with all clients in a professional manner at all times. Whilst general conversation to build rapport is recommended, it is not appropriate to engage patients in personal matters. Engage with clients whether in conversation or text or email in a professional manner. Colloquial expressions are not appropriate in a work environment.
  • Producing weekly and monthly reports pertaining to recalls and patient activity.
  • In free periods, review recall list and contact clients to ensure that diary is busy at all times.
  • Ensuring all client concerns relating to procedure / treatment problems are communicated to management so that they can be satisfactorily resolved in the shortest possible time.  All patient complaints must be documented on Clinic Procedure Complaint Forms and escalated to Management within same working day. 
  • All patient adverse events should be documented on Practice Incident Report discussed immediately with Management. Follow-up of your client is part of your continuous ongoing care and is mandatory. 

Systems

  • Gaining proficiency in all IT systems used in the practice.
  • Keep confidential all access codes, passwords etc. to any and all systems in the course of your duties. Communicate any change in password to employer immediately. 

Training and Education

  • The employee will be provided with access to training courses and further development which, in the employer’s view, is deemed necessary to fulfil the duties associated with the role. The cost of such courses will be met by the employer, save and except as provided for in the employee’s contract of employment. 

Flexibility 

  • The employee is required to be flexible in her position and must be prepared to undertake such work as may be assigned to her from time to time.  Such work can be outside the area of normal duties and may be in a location outside the Cosmetic Doctor.
