Cosmed Academy - Part Time Receptionist/General Admin/Front Desk support

Cosmed Medical Aesthetics Training Academy, located in central Dublin, is seeking a part-time receptionist/front desk support (2 days per week). Flexibility is an advantage, with the opportunity to grow into expanded duties and increased days for the right candidate. Immediate start. This is a front-of-house role requiring a confident, polished, and client-focused individual. The successful candidate will be the first point of contact for clients, ensuring a warm welcome while maintaining a smooth and efficient reception and administrative function.

Primary Duties

Tasks and Responsibilities

  • General Reception Management
  • Ensure the smooth running of the reception area on a day-to-day basis.
  • Keep the reception area tidy, organised, and stocked with necessary materials.
  • Receive, sort, and distribute daily mail and deliveries.

Delegate Course Enquiries and Database Management

  • Efficiently handle all incoming phone calls, emails, and social media enquiries.
  • Respond promptly to all requests and enquiries, ensuring a high level of customer service.
  • Communicate and provide complete knowledge of available services, courses, and facilities at Cosmed to delegates, companies, and visitors.

Pre-Training Day Scheduling, Bookings and Training Model Management

  • Manage meeting room schedules and bookings.
  • Maintain and manage delegate and training model bookings.
  • Manage course dates on website.

Prep and Oversee the running of Clinical Training days:

  • Prepare in advance and oversee the running of the training days.
  • Prepare trainer and delegate material.
  • Oversee and manage delegate access to the delegate hub.
  • Prepare training room and set up clinical area.
  • Ensure all clinical supplies are stocked and stored correctly.
  • Organise catering and manage catering throughout the training day.

Event Management and Hospitality – Room Hire

  • Assist with event management, including room hire management, setting up rooms, organising catering, and managing conference facilities.

Financial Administration

  • Manage and organise payments, invoices and contracts for room hire bookings.
  • Manage and organise payments, invoices for delegate course bookings.
  • Manage and organise payments, invoices for model deposits and treatments.

Clerical and Administrative Support

  • Perform general clerical tasks such as emailing, filing.
  • Assist and report on monthly stocktaking of products and consumables.

Requirements

  • Reception/admin experience (clinic/salon/office)
  • Professional, polished & customer-focused
  • Strong organisation & multitasking skills
